CANCELLATION & REFUND POLICY
This Cancellation & Refund Policy forms an integral part of the Terms & Conditions of Vismaya Greenlines. By making a booking, payment, registration, enquiry, or utilizing any service offered by Vismaya Greenlines, the customer agrees to be bound by this Cancellation & Refund Policy.
1. CANCELLATION REQUESTS
All cancellation requests must be submitted in writing through email, WhatsApp, or any official communication channel designated by Vismaya Greenlines.
Cancellation shall be effective only from the date and time when the Company acknowledges receipt of the cancellation request.
Verbal cancellation requests shall not be considered valid.
2. CANCELLATION CHARGES
The following cancellation charges shall apply on the total package cost:
• 30 Days or More Before Departure – 25% Cancellation Charge
• 15 to 29 Days Before Departure – 50% Cancellation Charge
• 7 to 14 Days Before Departure – 75% Cancellation Charge
• 0 to 6 Days Before Departure – 100% Cancellation Charge
• No Show – 100% Cancellation Charge
• Cancellation on Departure Date – 100% Cancellation Charge
The above charges represent minimum cancellation charges and may increase where airline, hotel, railway, transport operator, government authority, activity operator, or supplier-imposed penalties are higher.
3. ADVANCE PAYMENT, TOKEN AMOUNT AND BOOKING DEPOSIT
All advance payments, booking deposits, reservation charges, registration fees, token amounts, service charges and confirmation amounts paid to Vismaya Greenlines are generally non-refundable and may be forfeited upon cancellation.
The customer acknowledges that upon receipt of such payment, the Company may immediately incur costs and liabilities for reserving seats, hotel rooms, transportation, supplier services, permits, administrative processing and other travel arrangements.
Accordingly, advance payments may be retained by the Company to the extent permitted under applicable law and subject to actual costs incurred and contractual obligations undertaken by the Company.
Any refund of advance payment, if considered, shall be entirely at the sole discretion of the Company and subject to deductions for administrative expenses, supplier charges and other unrecoverable costs.
4. NON-REFUNDABLE COMPONENTS
Regardless of the cancellation date, the following components may be wholly or partially non-refundable:
• Flight tickets.
• Train tickets.
• Visa fees.
• Embassy charges.
• Travel insurance.
• Permit fees.
• Attraction tickets.
• Houseboat reservations.
• Peak season hotel bookings.
• Event tickets.
• Processing charges.
• Service charges.
• Payment gateway charges.
• Government taxes already remitted.
• Third-party supplier charges.
Actual supplier cancellation policies shall prevail wherever applicable.
5. NO SHOW POLICY
A booking shall be treated as a No Show if:
• The customer fails to report at the designated departure point.
• The customer fails to board the flight, train, bus, or vehicle.
• The customer fails to complete required travel formalities.
• The customer fails to produce valid identification documents.
• The customer voluntarily withdraws after departure.
No refund shall be payable in No Show situations.
6. PARTIAL CANCELLATION
Where one or more passengers cancel from a group booking, the remaining passengers may be subject to revised package pricing.
The Company reserves the right to recalculate package costs based on revised occupancy and supplier policies.
Additional charges arising from such revisions shall be payable by the remaining travelers.
7. RAILWAY TICKET CANCELLATION AND REFUND
All railway ticket bookings are governed exclusively by the prevailing rules and regulations prescribed by Indian Railways and IRCTC.
Vismaya Greenlines acts solely as a booking facilitator.
The Company shall not be responsible for:
• Railway cancellation charges.
• Waiting list movements.
• RAC confirmations.
• Chart preparation rules.
• Ticket status changes.
• TDR approvals or rejections.
• Railway refund decisions.
• Refund delays.
• Technical issues within IRCTC systems.
Any refund shall be subject to the actual refund received from Indian Railways after applicable deductions.
8. FLIGHT TICKET CANCELLATION AND REFUND
Airline tickets are governed entirely by the policies of the respective airline.
The Company acts solely as a booking intermediary.
The Company shall not be responsible for:
• Airline cancellation charges.
• Airline rescheduling fees.
• Airline no-show penalties.
• Fare rule restrictions.
• Airline refund delays.
• Airline schedule changes.
• Airline operational decisions.
Any refund shall be subject to the actual refund released by the airline after deduction of all applicable charges.
9. HOTEL CANCELLATION AND REFUND
Hotel bookings are governed by the cancellation policies of the respective hotel.
Certain hotels, especially during peak seasons, festivals, holidays and special events, may impose strict cancellation charges or complete non-refundable conditions.
The Company shall not be responsible for hotel-imposed cancellation charges.
Any refund shall be subject to actual recovery from the hotel.
10. VISA REJECTION AND VISA DELAY
Visa approval remains solely at the discretion of the concerned Embassy, Consulate or Government Authority.
The Company does not guarantee:
• Visa approval.
• Visa issuance.
• Visa validity.
• Processing timelines.
• Immigration clearance.
Visa fees, embassy fees, processing charges, courier fees and service charges are generally non-refundable.
The Company shall not be liable for any losses arising from visa refusal, delay, rejection or cancellation.
11. NO REFUND FOR UNUSED SERVICES
No refund shall be payable for any service not utilized by the customer after commencement of travel.
This includes:
• Hotel accommodation.
• Meals.
• Sightseeing.
• Transportation.
• Transfers.
• Activities.
• Entry tickets.
• Houseboat stays.
• Tour inclusions.
No refund shall be granted for early departure, voluntary withdrawal or failure to utilize booked services.
12. WEATHER, SNOWFALL AND NATURAL CONDITIONS
The Company does not guarantee:
• Snowfall.
• Snow-covered landscapes.
• Pleasant weather.
• Clear visibility.
• Seasonal blooms.
• Wildlife sightings.
• Environmental conditions.
No refund, compensation, discount or credit shall be provided solely because weather conditions differ from customer expectations.
13. FORCE MAJEURE
The Company shall not be liable for cancellation, delay, interruption, modification or failure in performance caused by events beyond its reasonable control including:
• Floods.
• Landslides.
• Earthquakes.
• Cyclones.
• Storms.
• Epidemics.
• Pandemics.
• Government actions.
• Political disturbances.
• Civil unrest.
• Terrorist activities.
• Airport closures.
• Transportation strikes.
• War.
• Acts of God.
In such circumstances, refunds, if any, shall be subject to actual recoveries received from suppliers.
The Company shall not be liable for any indirect, consequential, incidental, special or punitive damages arising from such events.
14. CUSTOMER DELAYS AND MISSED DEPARTURES
No refund shall be payable where services are missed due to:
• Late arrival.
• Failure to report on time.
• Missing flights.
• Missing trains.
• Missing buses.
• Missing transfers.
• Failure to carry valid documents.
• Personal reasons.
Any expenses incurred to rejoin the tour shall be borne solely by the customer.
15. PAYMENT GATEWAY AND BANKING CHARGES
Payment gateway charges, banking charges, transaction charges, convenience fees, merchant processing fees and similar charges imposed by banks, payment gateways or financial institutions may be non-refundable.
Any refund issued shall be subject to deduction of such charges where applicable.
16. REFUND ELIGIBILITY
Refunds, if applicable, shall be calculated after deduction of:
• Applicable cancellation charges.
• Supplier penalties.
• Non-refundable components.
• Processing fees.
• Payment gateway charges.
• Administrative expenses.
• Banking charges.
The Company reserves the right to determine the final refundable amount based on actual losses incurred.
17. REFUND PROCESSING
Approved refunds shall normally be processed within 15 to 30 business days.
Refund timelines may vary depending upon:
• Airline processing.
• Hotel processing.
• Railway processing.
• Banking systems.
• Government authorities.
• Supplier settlements.
The Company shall not be liable for delays caused by third parties.
18. REFUND METHOD
Refunds shall normally be made through the original payment method used during booking.
The Company reserves the right to determine the appropriate refund method where necessary.
19. SPECIAL EVENT AND PEAK SEASON BOOKINGS
Bookings made during Christmas, New Year, Eid, Diwali, Onam, festival periods, school holidays, long weekends and peak tourism seasons may be subject to stricter cancellation terms and reduced refund eligibility.
20. COMPANY CANCELLATION
In rare circumstances where Vismaya Greenlines cancels a service due to operational reasons, supplier failure, safety concerns or circumstances beyond reasonable control, the Company may offer:
• Alternative arrangements.
• Travel credit.
• Rescheduling options.
• Refund after deduction of actual unrecoverable costs incurred.
The Company's liability shall be limited to the amount actually recoverable from suppliers and service providers and shall not extend to consequential or indirect losses suffered by the customer.
21. CHARGEBACKS AND PAYMENT DISPUTES
Customers agree not to initiate unjustified chargebacks after confirmation of bookings or utilization of services.
The Company reserves the right to contest chargebacks using booking records, invoices, vouchers, communications, supplier confirmations and travel documents.
The Company further reserves the right to recover legal expenses, collection costs and damages arising from wrongful chargebacks.
22. RIGHT TO MODIFY POLICY
Vismaya Greenlines reserves the right to modify, amend, update or revise this Cancellation & Refund Policy at any time without prior notice.
The version applicable on the booking date shall generally govern the booking.
23. GOVERNING LAW AND JURISDICTION
This Cancellation & Refund Policy shall be governed by and interpreted in accordance with the laws of India.
Any dispute, claim, controversy or legal proceeding arising out of or relating to this Cancellation & Refund Policy, any booking, payment, refund, cancellation, rescheduling request or service provided by Vismaya Greenlines shall be subject exclusively to the jurisdiction of the competent courts located in Chavakkad, Thrissur District, Kerala, India.
The customer expressly agrees to submit to the exclusive jurisdiction of such courts.
